Terms and Conditions

These Terms and Conditions outline the agreement between you (“the Client”) and Amanda Fulford, Professional Independent Celebrant at Willow Tree Ceremonies (“the Celebrant”).

By confirming your booking, you agree to the terms as outlined below.

Provisional Booking

Following an initial enquiry, you can make a provisional booking by email to amanda@willowtreeceremonies.co.uk This will reserve your chosen date for 7 days. Following this, the Client should complete the booking form and contract and pay the deposit of 25% of the total fee. If this is not received within this period, the date will be released and made available for other clients to book.

Confirmed Booking

On receipt of the deposit equal to 25% of the total agreed fee, and the completed booking form and contract from the Client, a firm booking is confirmed. Your ceremony date will be secured, and no other events will be booked by the Celebrant for that date.

Payment of Balance

The Client must pay the remaining balance no later than one month before the ceremony date. Where bookings are made less than one month in advance, payment in full of the fee will be required at the time of booking.

Payment of the balance includes the fee; any additional ‘add ons’ requested by the Client, and any transport costs. Return travel within 30 miles of the Celebrant’s registered address are included in the fee. Travel beyond this will incur a charge of £0.48 per mile.

Cancellation by the Celebrant

If on the day of the event the Celebrant is not able, for whatever reason, to provide the service you have paid for, Willow Tree Ceremonies will endeavour to find a substitute celebrant to provide the service in its place. In unusual circumstances that no substitute celebrant can be found, will you be entitled to a full refund.

Cancellation by the Client

If the Client cancels a confirmed booking within 14 days of payment of the deposit, they will be entitled to a full refund from the Celebrant. After 14 days, the deposit becomes non-refundable.

Cancellation by the Client after the 14-day period of payment of the deposit are as follows. Charges are based on the proximity to the ceremony date:

  1. Between the confirmed booking date and 3 months from the ceremony date: an additional 25% of the total fee;
  2. Within 3 months of the ceremony: 60% of the total fee;
  3. Within 2 months of the ceremony: 80% of the total fee;
  4. Within 1 month of the ceremony: 100% of the total fee.

Any travel or accommodation costs incurred by the Celebrant in the cases of (i) – (iii) above will also be charged in the event of cancellation.

Changes to Bookings

Requests by the Client to change the date or time of a ceremony must be made in writing to amanda@willowtreeceremonies.co.uk The Celebrant will accommodate changes where possible, but these cannot be guaranteed. Changes to the venue might incur additional charges in terms of travel costs.

If, on the day of the event, the Client has to delay the ceremony, a charge will be made. For every hour or part thereof past the agreed starting time of the ceremony, a charge of £75 will be incurred.

Use of Images and Testimonials

The Celebrant will seek the Client’s consent to use photos or video clips from your ceremony (either taken by us, or shared with us) for the sole purpose of promoting Willow Tree Ceremony’s services on its website or social media platforms. The Celebrant may also request a short written testimonial for the same purpose.

Providing consent to use photos or testimonials is entirely optional, and there is no obligation on the Client to do so.

Confidentiality

All personal details and ceremony content you provide to the Celebrant will be treated as confidential. For full details about how we use your information, and the circumstances in which relevant information might be shared with third parties, please see the Celebrant’s GDPR and Privacy Policy.

Exceptional Cicrcumstances

While every effort will be made to accommodate changes or rescheduling requests, refunds under exceptional circumstances will be considered on a case-by-case basis. They are not guaranteed and are at the sole discretion of Willow Tree Ceremonies. An administration fee may apply in such cases.

In the event that Willow Tree Ceremonies has to cancel your booking, you will be entitled to 100% refund of monies paid.

Legal Rights

This policy does not affect your statutory rights as a consumer under UK law.

Refund Requests

To request a refund, please contact Willow Tree Ceremonies in writing at amanda@willowtreeceremonies.co.uk Please include your name, the date of the ceremony, and the reason for the refund request. This will then be considered, and you will receive a response in 14 days.
